Administrative Assistant William Penn Honors Program

Purpose for the Position: Under the direction of the Director of the William Penn Honors Program, the AA provides administrative and office support for the honors directors, faculty, and student life in a myriad of ways.  This AA role is essential to both faculty and students in ensuring the smooth running and energetic life of the William Penn Honors Program.

WPHP Office Duties

  • Provide administrative support for the Program and Associate Director, Honors Faculty, and WPHP Committee.   Help coordinate meetings for various faculty groups.  Present department information, take minutes, and order meals or refreshments as needed.
  • Support Director as needed with Academic Affairs related tasks, i.e. loads, course submissions, assessment, faculty new hires (including ARF's), syllabi collection, board reports, course evaluations, faculty schedules, grade reports, etc.
  • Maintain department calendar.  Set appointments for Directors, if desired. 
  • Create and send weekly event notifications to students and faculty. Maintain/update internal honors webpages
  • Train New Faculty on department specific information and provide assistance with school wide systems.  
  • Provide day-to-day management of the WPHP budget Provide details for budget projections. (May also help prepare Program and Personnel Costs Budget Packets.)
  • Process credit card reconciliation(s), purchase orders, check requests, expense reports, petty cash recon, office and other supply orders, etc.
  • Maintain student Google Group lists, retention data, student surveys, etc. 
  • Arrange for equipment maintenance, general improvements, and furniture updates as needed.  Serve as building monitor and make room reservations.
  • Provide support for Summer Faculty Development.
  • Reading, routing and responding as appropriate to department incoming mail, email and faxes.   Make copies, preparing office-related outgoing mail, correspondence and faxes.
  • Work with various departments across campus including the registrar and IDEA Center, Plant Services, Print Services, MarCom, Bon Appetit, and Other Academic Departments.   
  • Attend Department Events, such as Welcome Dinner, Honors Orientation, Department Retreats, etc.

 

Program Special Event Planning and Student Involvement

  • Care for and engage with honors students regularly keep the Be Known Promise. 
  • Hire and supervise one student employee. Manage faculty job requests using Student Office Assistants.  Oversee Honors Interns for tasks under the AA's prevue.
  • Field trips/cultural events: Provide organizational support (Ex: Shakespeare Festival-arrange lodging, tickets, transportation, etc.)
  • Organize internal events: PHTea (weekly honors program tea), Forums (4 per year)
  • Other special events: Spiritual Retreat, Christmas party, Year-end Ice Cream Party, Senior Banquet and Honors Convocation, etc.
  • Support Associate Director with the Living Learning Community.
  • Distribute Withdrawal Forms to withdrawing students

Other

  • Collaborate closely with directors and staff in the William Penn Honors Program.  Work within a team environment where "all hands are on deck."   
  • May be called upon to assist in meeting face-to-face with prospective students and their parents. 
Minimun Requirements/Qualifications:
  • A bachelor's degree preferred or equivalent to 4 years of office management.
  • Proven ability to work independently and multi-task. Must also enjoy a collaborative working environment with a willingness to support fellow staff members in their busier times.
  • Must understand the dual need to the support faculty and the University so they/it can perform at their/its best and to mentor the honors students the AA oversees and interacts with.
  • Excellent customer service skills including a courteous, approachable presence in person, online, and on the phone.
  • Experience with Excel and the Google Office Suite is required. Familiarity with MailChimp, Cascade Server, PeopleSoft, 25 Live, and/or FoxTALE is a plus.
  • Ability to effectively utilize university support systems (Institutional Technology, Mail Services, food services, etc).
  • Ability to communicate effectively in English, including face-to-face, on telephone, in writing; and ability to understand and follow instructions.
