College of Education Program Coordinator V

Job Purpose:

The College of Education is looking for an experience Program Coordinator to help with communication between faculty and students, and help students navigate their degree program.

Essential Responsibilities:

  1. Provide excellent customer service and accurate information to all guests, students and faculty who enter the GFU Roberts Center. Assist students with overall navigation of their degree program.
  2. Facilitate effective and timely university and program communication between faculty and students via program handbooks, fliers, e-mail, online databases, online learning platforms, and phone conversations.
  3. Track current student progress throughout the program for licensure requirements by creating and maintaining electronic student files. Provide students with information and instruction on fingerprinting, completion of required exams, and applying for an Oregon teaching license. Perform regular file reviews of all enrolled students and communicate with students when exam scores or other records are needed. Communicate with class advisors regarding students' file status.
  4. Prepare student file for licensure at end of program and preform preliminary file review before handing off to the GFU TSPC liaison for additional signature, recommendation and licensure submission.
  5. Communicate with Admissions regarding prospective student events and provide support to faculty during events, as needed (Scholarship Competition, Friday at Fox, Bruin Preview department showcase).
  6. Plan events (orientation, senior banquet, group interviews), make needed arrangements, purchase supplies; Schedule faculty, prospective students, and alumni to assist with and speak at events.
  7. Request and track syllabi for all UGTE courses each semester.
  8. Serve as support for the Teacher Education Committee: work with TEC chair to organize meetings, take minutes, gather and compile student admission data; facilitate faculty review of application essays in online program.
  9. Coordinate interviews and hiring of all College of Education (COE) work study student employees. Train and communicate tasks; create work schedules; provide feedback on performance.
  10. Take minutes at all UGTE Faculty meetings; provide support to leadership and faculty.
  11. Maintain School of Education (SOE) spreadsheet for Teacher Preparation Assessment, submission, scores, progress.

Associated Duties:  

  1. Assist with building monitor duties (shared with PsyD), maintain office equipment and lobby information monitor.
  2. Facilitate and track faculty use of department credit card; reconcile for submission.
  3. Supervise mail delivery, library exchanges, and interface between COE and IT department.
  4. Work with other College of Education program coordinators to facilitate and maintain effective communication and procedures inter-departmentally within the College of Education.
  5. Order supplies and perform other duties and special projects as assigned by COE leadership and faculty.

Position Overview: ADMN (20%), EdD (20%), MEd (10%)

  • ADMN Administrative Licensure, EdD Doctor of Education, MEd - Masters of Education

Essential Responsibilities for all Graduate Programs:

  1. Provide excellent customer service to program chairs, directors and students, including overall navigation of their degree program at GFU.
  2. Facilitate effective and timely university and program communication between faculty and students via program handbooks, fliers, e-mail, online databases, online learning platforms, and phone conversations.
  3. Assist program chairs/directors to prepare semester course schedules for the registrar's office.
  4. Coordinate in the planning of meetings and all department events including interview sessions with prospective students and face to face student events. Take minutes at program meetings.
  5. Prepare and maintain current and archived student files and documentation; assist faculty with evaluating and processing transcripts for transfer course work.
  6. Request and track syllabi for all graduate courses each semester.
  7. Assist program chair and faculty with facilitation of ongoing program improvements and refining current procedures.
  8. Update and maintain department website and online platforms for students and faculty.
  9. Provide assistance to students with publication and electronic submissions of their culminating project.
  10. Coordinate Commencement/Hooding event (fall-spring) with venue, catering, flowers, music, event program.

Additional Responsibilities for Administrative Licensure Program:

  1. Track current student progress throughout the program for licensure requirements by creating and maintaining electronic student files.   1. Assist chair with Applicant Pool/interviews during faculty hiring process.
  2. Process and track check requests and credit card purchases, using Concur and Excel.
  3. Orient new faculty to department and GFU procedures; assist faculty as needed.
  4. Work with other College of Education administrative assistants to facilitate and maintain effective communication and procedures inter-departmentally within the College of Education.
  5. Order supplies and perform other duties and special projects as assigned by COE leadership and faculty.

Minimum Requirements/Qualifications:

  • Bachelor's Degree with two years of related experience required, or an equivalent combination of education and experience: experience supporting multiple directors highly preferred, knowledge of Oregon teacher licensure requirements and teacher preparation program a plus; experience in working with college students.
  • Strong planning, organization, and project management skills.
  • Computer proficiency including MS Office Suite, Google Suite, database experience.
  • Strong detail orientation, accuracy and ability to work in a fast-paced, interruption-driven environment.
  • Strong reception skills - welcoming, friendly, supportive, articulate, and service oriented.
  • Discretion and integrity in handling confidential information.
  • Availability and willingness to work occasional evenings as needed.
  • Strong verbal and written communication skills as well as strong interpersonal skills.
