College of Engineering Half-time Administrative Assistant

Purpose for the Position:

This person will join a highly committed and professional team of faculty, students and support staff in the College of Engineering, to provide capable assistance with events, projects, clerical duties and student employee management, for the three departments of Mechanical and Civil Engineering, Electrical Engineering and Computer Science, and Mathematics and Applied Science.

Essential Responsibilities:

  • Departmental hospitality. Interfacing with faculty, students, parents, and other visitors such as industry representatives.
  • Assist with student recruitment activities, admissions events (Bruin Preview/Friday at Fox), scholarship competitions, internships and full time job placement; including collecting data and coordinating student internship informational meetings. Evaluating and verifying program applicant qualifications, creating, tracking and reporting on electronic surveys and applications.
  • Assist with developing departmental marketing and informational media (both print and social media/electronic).
  • Coordination of student employees, including processing offer/new hire paperwork, monthly time sheets, documentation of hours and workers for faculty, and tracking earnings; co-supervise student employees, including delegating, coaching, and providing performance feedback.
  • Event management in collaboration with executive assistant; coordinate numerous events throughout the year including off-site retreats, fall and spring expos and senior banquets.
  • Managing and communicating faculty schedules. Additional associated clerical duties, including taking minutes at departmental and IAB meetings; assisting with assessment data collection and tracking, mail, telephone, room and vehicle reservations, scanning, copying, faxing and additional reception duties as needed.
  • Communicate effectively and courteously with others, including employees, students and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words and lifestyle, be a Christian role model to students, whether through casual contact or in a formal advisory role.

Minimum Requirements/Qualifications:

  • 2 years of professional administrative support experience required; 2 years of college preferred
  • High level of initiative and ability to work independently as well as part of a team.
  • Strong analytical and problemsolving skills.
  • Excellent planning and organizational skills
  • Superior oral and written communication skills and outstanding service orientation.
  • Demonstrated computer proficiency: including Google platform, Microsoft Office Suite (word processing and Excel), email, internet, data base, web, etc.
  • Proven track record of discretion and integrity in maintaining confidentiality
