Director of Advancement Operations

Position Summary:  The Director of Advancement Operations provides leadership to a variety of University Advancement technical projects, programs, and processes. The DAO is responsible for leading a best-in-class Advancement Services team that serves George Fox's alumni relations, corporate and foundation relations, and development operations. The DAO will create and manage an effective infrastructure to maximize fundraising and constituent relations efforts by optimizing business processes and systems and providing timely analysis to support data-driven decision-making in anticipation and support of customer needs. The DAO will drive innovative solutions to enhance the delivery of services to ensure accurate and timely recording of gifts and pledges. They will create and maintain a program of policies and procedures for the effective management and control of these functions, and develop training programs to ensure all team members have a solid understanding of fundraising programs, strategies, and information systems. The Director also serves as the compliance officer for these functions.

Essential Responsibilities:

  • Data Management
    • Supervise the management of all data entry, including
      • Gifts, pledges, proposals, and grants
      • Biographical and contact information
      • Event participation
      • Prospect Research
      • Regular auditing to ensure ongoing accuracy
    • Supervise the management of all donor stewardship, including the production of donor acknowledgements and receipts in a timely fashion
    • Reconciliation with and reporting to Finance
    • Process improvement / Automation implementation to reduce overall cost to the university
    • Ensure compliance with procedures and federal regulations
    • Manage a production log for Advancement projects requiring support from Advancement Operations
  • Data Production and Distribution
    • Oversee creation and maintenance of regular production of development reports, exports, donor segmentations, mail merge files for distribution throughout the year
    • Procure/provide analysis of giving history and donor engagement data to inform strategy and future planning for advancement initiatives and university campaigns
    • Facilitate movement through the donor pipeline through identification of prospects, in coordination with the Executive Director of Development
    • Coordinate with the Vice President of Advancement to provide regular reporting for the Executive team as well as the Board of Trustees
  • Project Management
    • Manage interdepartmental initiatives that contribute to the University-wide mission and improve support of University Advancement
    • Create/implement procedures to support the stewardship university donors and constituents
    • Establish and maintain positive relationships with all departments within the university community to assure effective and accurate information is disbursed/received
  • Management
    • Hire, supervise, train, and evaluate Advancement Operations staff
    • Supervise the implementation of team strategies
    • Develop and monitor various measures, benchmarks, and targets to improve efficiency and accuracy
    • Lead the development of strategies using technologies to enhance processes and procedures and facilitate data-driven decisions throughout the organization
    • Manage Advancement Operations annual budget ensuring accurate submission of expense reports and spending
  • Training
    • Train, provide instruction for, and monitor staff in use of PeopleSoft, Reeher, and other University software, as well as established policies and procedures
    • Evaluate users and identify those in need of additional or advance training
    • Understand Advancement processes, workflows, structure and general strategy for data management; advise external departments on their usage of the application and data
  • Provide strategic leadership to Advancement executive team led by the VPA
  • By actions, words and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role

Secondary Responsibilities:

  • Onboard new Advancement employees in coordination with the Executive Assistant for Advancement
  • Assist VPA with annual Advancement budget request
  • Engage and support Advancement student employees
  • Other duties as assigned

Minimum Qualifications:

  • Bachelor's degree and 5 years of successful work experience in higher education and/or advancement functions; or equivalent combination of university education and work experience
  • Prior management experience

  • Ability to work under pressure and manage multiple tasks simultaneously
  • Strong ability to learn quickly

Preferred Qualifications:

  • Demonstrated presentation skills
  • Demonstrated experience with ongoing project management
  • Demonstrated ability to analyze and interpret complex data sets
  • Experience working with PeopleSoft software or a large relational database
  • Experience creating and managing PS SQL Server Reporting Services (SSRS) reports, Tableau, or other modern report generation technologies
  • Working knowledge of higher-ed focused non-profit fundraising
