Executive Assistant to the Presidents Office

Purpose for the Position:  To be a critical contributor to the President's office while supporting the mission, strategy and goals of the University. The Executive Assistant's primary responsibilities is to provide administrative support to the President and the Chief of Staff. This position reports dually to the President and the Chief of Staff.

Essential Responsibilities: 

Presidential Assignments:

  • Coordinate the President's calendar and travel arrangements and activities with donors.
  • Supervise presidential communication including the Bridge (internal presidential communication) and Connections (external presidential communication).
  • Perform administrative duties for the office including but not limited to, written and email communication on behalf of the President and Chief of Staff with other departments as well as with external constituents as directed, drafting or editing official responses to incoming correspondence and documents for the President.
  • Aiding the President in creating presentations to the community (e.g. all employee meetings, president's chapel presentations).
  • Taking minutes at assigned meetings.

 

Chief of Staff Assignments:

  • In consultation with the Chief of Staff and President, process presidential appearance requests.
  • Provide assistance to the Chief of Staff with event/meeting logistics, i.e. room reservations, facilities, set-ups, catering, as well as assistance at events on an as needed basis (could be outside of regular work hours).
  • Provide assistance to the Chief of Staff for upcoming Board of Trustees meetings by drafting, organizing and disseminating materials for Board books and meeting materials. This includes maintaining the Board of Trustees web page and taking minutes at the Board of Trustees Annual and Semi-Annual meetings, as well as Board Committee meetings as assigned.
  • Orchestration and compilation of the Fall and Spring events brochure.
  • Oversees the use of the Hy Vista Retreat Center as well as reservations of the President's Dining Room.
  • Assume responsibility for projects and research as assigned.

 

General Office Assignments:

  • Receive guests and applicants, answer phones, and serve as initial point of contact for the office. Redirect calls to the appropriate staff/administrators as pertinent.
  •  Process purchase orders, check requests, and maintain office supplies.
  • File and retrieve documents.
  • Receive, evaluate and prioritize incoming mail.

 

Minimum Requirements/Qualifications:

  • Minimum of 1-3 years of successful office clerical or administrative support experience in a higher education environment.
  • Exceptional written and verbal communication skills.
  • Exceptional interpersonal, influencing and communication skills.
  • Strong decision making, detail-oriented, and problem solving skills.
  • Excellent organization skills and detail orientation with the ability to manage multiple tasks simultaneously and meet deadlines.
  • Working knowledge of Microsoft Office Word, Excel & PowerPoint, Google documents and Internet navigation.
  • Integrity and discretion in maintaining a high degree of confidentiality.
