Student Account Specialist IV and VA Cert

Purpose for the Position:  Student accounts customer services. This includes all aspects of the "Payment for College" process such as interpreting policies; answering basic financial aid questions, problem solving, helping students understand their charges and overcome related payment challenges.  Veterans Administration Certifying Official representing GFU to VA students, financial aid advisor as it relates to VA Benefits and VA specialized billing. This position works primarily on the Newberg campus but may also occasionally work at the Portland Center. Other frequent tasks include communication by email and phone, making referrals, advocacy, accessing reports, working in spreadsheets, data related analysis and task management.

Essential Responsibilities:

  1. Manage all aspects of student accounts for designated student population.  Respond in person, by phone, via email and by written correspondence regarding financial policies, payment options and the impact of drop/withdrawal. Review Return of Title IV funds processes, coordinate financial petitions, evaluate appeals and take action to remove penalties when deemed appropriate. Establish and set up payment plans, bill students and third parties when present, implement payment interventions and follow-up with students. Promote sound financial decision making to resolve holds and impact collections. Assess late payment penalties and has authority to waive same when deemed appropriate. Process payments.
  2. Generate reports to assist in auditing and analyzing account transactions for accuracy, report charge discrepancies and issues.
  3. Advise VA students regarding eligibility and certification rules. Counsel on how to maximize program benefits through careful registration so that financial aid and VA payments (both for education and for daily living) are not hindered. Positively impact admission and retention of VA students. Attend and present VA information at new student orientations.
  4. Shared responsibility for student VA certifications. Access and use secure federal site for certification and billing. Monitor registration and student account throughout the semester to determine benefit eligibility impacts, advising, intervening and recertify as needed. Notify Enrollment and Financial Aid Counselors of VA related eligibility issues and of financial aid award changes needed. Monitor Yellow Ribbon Match and other VA resources. Respond to VA Debt Management letters regarding VA student debt. Work closely with VA Coordinator to assure compliance procedures are met and to suggest positive changes.
  5. Manage various fee processes such as enrollment deposit/graduation fees.
  6. Manage the accuracy of student service indicators and related data that impacts service indicators. Includes related query management responsibilities, audits of the results and taking initiative to achieve desired results.

  8. Communicate effectively and courteously with others including employees, students and the public, in a spirit of teamwork, respect and customer service.
  9. By actions, words and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.    

Associated Duties: 

  1. Assist with excess funds refund processes and federal Title IV requirements.
  2. Attend Veterans related trainings and assist with the ongoing documentation of procedures.
  3. Assist with review and edits of outgoing communications, mailings and web page content.
  4. Delegate tasks to work-study students.
  5. Other duties as assigned.

Minimum Requirements/Qualifications:

  1. Computer proficiency and innate technology aptitude required; proficient in Microsoft Windows and Google Suite, software systems experience preferred.
  2. College degree or equivalent experience. Two years of office and customer service experience preferred. Student account or account receivables experience preferred but will train the right candidate. VA Certification or benefit experience helpful.
  3. Ability to work independently while remaining productive. Has exhibited high initiative.
  4. Must have flexible work hours and be able to work at both the Portland and Newberg Campus.
  5. Must be accurate and detail orientated, as well as be analytical, skilled at problem solving.
  6. 6. Must be able to work well under pressure, maintain good interpersonal skills and possess a strong customer service orientation.
  7. 7. Discretion and integrity in maintaining confidentiality.
  8. 8. Ability to communicate effectively in English, orally and in writing, including on telephone, and to understand and follow instructions.
